Submitting Subawards

For Subcontracts RECEIVED FROM an outside institution to the UW

A short proposal is almost always required to be submitted from UW to the outside institution.

Proposal is comprised of:

  • cover page
  • budget (for UW portion only)
  • abstract
  • project description (usually short, and will later be incorporated into the subcontract received by UW)
  • current and pending support for all key personnel at UW
  • biographical sketch(es) for all key personnel at UW
  • facilities page (for proposals that will ultimately by funded by NSF)

This proposal will go through UW’s Office of Sponsored Programs (OSP) and be submitted to the outside institution (who will likely incorporate much of it into their proposal)

For Subcontracts SENT TO an outside institution from a UW Grant

UW must receive a short proposal from the institution we want to subcontract to.

The outside institution’s proposal should consists of:

  • cover page
  • budget (for subcontract portion only)
  • abstract
  • project description (usually short, UW will incorporate this into the subcontract as the statement of work)
  • current and pending support for all key personnel at outside institution
  • biographical sketch(es) for all key personnel at outside institution
  • facilities page (for proposals that UW will submit to NSF)

This short proposal will be incorporated into the overall proposal UW submits to the funding agency. Please note that the institution UW is subcontracting to must be registered in UW’s Ariba system. Contact Collen Marquist for more information about registration.

  • if the PI needs to add a new subcontract to an existing award–that was not included in the original proposal–prior written approval from the granting agency must be received before UW can issue the subcontract
  • if the budget the PI wishes to award to the outside agency is different than the originally approved budget, written approval from the outside agency must be received before UW will issue the subcontract
  • usually, UW writes subcontracts for only one year at a time; to extend the end date or add additional funds to an existing subcontract, a modification request is submitted to OSP.
